The Project Coordinator position is responsible for providing administrative support to the Projects Team and assisting with activities related to quotations, order execution, scheduling, expediting and others as required by the team or management.

Project Coordinator


• Requests reference orders for quoting from sales support
• Prefills headings for forms and worksheets (change order form / kickoff form / costing wks)
• Books orders in ax
• Creates digital job folder and maintain up to date
• Fills request form for physical project file folder
• Fills form to add new tubeskin/multipoint order to schedule
• Requests cad tech to begin new job
• Requests cad tech for shop package
• Requests cad tech for as-builts
• Sends requests to revalidate material quotes
• Schedules meetings / conference calls
• Scans and prints
• Maintains transmittal folders with approvals, revisions, and all communications
• Organizes hard copies in subfolders of physical files 
• Updates varnet and schedules dates
• Follows up on drawing approvals from customer
• Takes packages to mfg / fab / code u for review and stamping
• Releases packages to planning and send notification emails
• Emails request to pull packages for redlining or updates
• Assists with redlining as approved by the project manager
• Combines and organizes all shop packages with office file and submit for scanning
• Sends request to document control for data book / mrb
• Provide project status or tracking info(requires coordinating with shipping and customer)
• Takes meeting minutes
• Submits drawings to field service 
• Quotes follow-up 
• Performs ancillary duties as required


• High school diploma required
• Two-year degree preferred
• Ability to follow directions and take initiative when required
• Familiarity with Microsoft office
• Excellent communication (both oral and written)
• Organized, detailed oriented, and multi-tasking skills
• Focused and supportive to project managers at all times
• Adaptable and calm under pressure
